Job Summary:

As a Villa Travel Agent, you will be responsible for assisting clients in planning and booking villa accommodations and related travel services. You will provide end‑to‑end support—from initial enquiry through to the guest’s stay—ensuring each client’s needs and preferences are met with high standards of service and attention.


Key Responsibilities:

  • Consult with clients to determine their needs, preferences, budgets, and desired experiences for villa stays (location, size, amenities, etc.).

  • Research villa options, compare availability, rates, amenities, and contract terms with villa owners or property managers.

  • Prepare and present customized villa proposals / portfolios including accommodation, transportation, local services (e.g. transfers, excursions, concierge).

  • Make and confirm bookings for villas, coordinating check‑in/check‑out schedules, special requests (pool heating, meals, housekeeping etc.).

  • Cross‑sell or upsell add‑on services: transportation, travel insurance, excursions, local guides, special amenities.

  • Handle client enquiries and changes: modify bookings, manage cancellations, solve arising issues (e.g. property defects, customer complaints) in a timely, professional manner.

  • Liaise with villa owners / property management to ensure readiness of property: maintenance, amenities, cleanliness, staff arrangements.

  • Stay informed about local attractions, travel regulations, visa requirements, and seasonal offers to provide accurate advice to clients.

  • Maintain and update villa database / catalog: property photos, descriptions, availability, rates.

  • Provide excellent customer service, ensuring guest satisfaction, gathering feedback, resolving issues.


Qualifications & Skills:

  • Experience in travel, hospitality, or accommodations, especially in luxury or villa rentals preferred.

  • Good communication skills (verbal & written), in English and ideally Polish; additional languages (e.g. German, French) are a plus.

  • Strong customer service orientation; ability to understand and anticipate client needs.

  • Excellent organizational and time‑management skills: handling multiple bookings, deadlines, details.

  • Familiarity with reservation systems / property management systems / booking software.

  • Attention to detail in contracts, property inspections, amenities, special requests.

  • Sales / negotiation ability: getting favorable deals from villa providers, upselling services.

  • Problem‑solving skills; ability to handle last‑minute changes or unexpected issues.


Working Conditions:

  • Office / remote / hybrid work depending on company setup.

  • Some work outside regular hours might be needed (weekends, evenings) depending on client needs and bookings.

  • Occasional travel or site visits to villas for inspections may be required.
